https://www.rehomeukraine.org is a platform owned and operated by Global Blood Fund (GBF), a charity registered in England and Wales (1162880) and a 501(c)(3) non-profit registered in Oklahoma, USA (39-2071848). Rehome Ukraine is service matching Ukrainian refugees with households in the UK, US and Canada and our privacy approach is driven by a desire to restrict collection and use of data to legitimate business interest.
HOW WE USE YOUR DATA: Where you sign up as a Home Offeror or Home Seeker via our Rehome Ukraine platform we will collect details from you in order to facilitate a match. These details include your name and contact details. For the Home Offeror, only an email address will be requested as this is felt to represent the best balance between protecting privacy whilst still being sufficient to open communications. Home Offerors can then choose to share further details if they wish at the point a connection is made.
For the Home Seeker we also ask for information about you and/or your party, such as age/s, gender/s, smoker status and pet ownership.
For the Home Offeror we ask for preferences around some of the Home Seeker characteristics. We ask about a connection to blood banking/donation because (given GBF’s mission) for some of our supporters this may be an important factor: however, in matching terms it is treated as just another characteristic.
From all registrants, we will ask for personal statements that will give the other party an insight into and ‘feel’ for the Home Seeker and Home Offeror as an individual or family group. You are free to tell us as little or as much about yourself as you choose, but the richer the insights the better the likelihood of a successful match.
All these details are an important part of the pairing process (see below) and we believe it is key to match across as many variables as possible. If you are a Home Offeror, we may during the registration process offer the opportunity to donate to support our work. If you are kind enough to engage in this way (thank you!) donations are managed via a third-party platform (PayPal).
The registration platform is a data collection tool. Once you are registered your information will be electronically shared with and be processed by our software partner in Canada (a business with its own strict data policies; see below) that applies powerful algorithms to search through all Home Offeror and Home Seeker records to find the perfect match. Once a match is made the full details supplied by the Home Offeror will be send to the Home Seeker. This set of details describing the household will allow the Home Seeker to judge if the match feels like a good fit. To protect the Home Offeror, it will contain only an email address. The Home Seeker has the option to accept or reject the pairing (and may reach out via email at this point as part of the decision making process). If accepted, the full profile of the Home Seeker is sent by email to the Home Offeror. In this instance all Home Seeker contact channels submitted at registration will be shared since the Home Seeker has ‘approved’ the match so we assume consent for this.
IMPLIED CONSENT: Having registered, we assume that you may be interesting in hearing from us if this helps further the purpose of your registration. We may do this by email (or using any of the other contact channels provided by the Home Seeker). We will not contact you for any reason that is not connected to the matching process.
WHO WE SHARE YOUR DATA WITH: This is mainly detailed above; some information needs to be shared to execute the purpose for which it was given. We absolutely do not sell data for marketing purposes. We may share your data with other partners and subcontractors, such as marketing or research organisations for the purpose of facilitating communication with you or in organising events connected with the primary purpose of your registration.
WHERE MY DATA IS STORED: We store your registration data in the UK. When we transfer your personal information outside of the UK/EU, we ensure it receives additional protection as required by law.
HOW LONG WE KEEP YOUR DATA: We will retain your personal information for as long as we need it unless we are required to keep it for longer to comply with legal, accounting or regulatory requirements. The intention will be to delete, or at least anonymise, all data once this time limited program has closed.
YOUR RIGHTS UNDER DATA PROTECTION LAWS: You have various other rights under applicable data protection laws. These including the right to:
- access your personal data (a ‘subject access request’)
- correct incomplete or inaccurate data we hold
- ask us to erase the personal data we hold about you
- ask us to restrict our handling of your personal data
- ask us to transfer your personal data to a third party
- object to how we are using your personal data
- withdraw your consent to us handling your personal data
- lodge a complaint with us or the Information Commissioner’s office
If further information or clarification on any of the above is required, you can contact us at firstname.lastname@example.org for more detail.
